How to Track Changes in Google Docs

How to Track Changes in Google Docs

Documents collaboration is done serially in Microsoft Word. a person enables the track changes option which works on a document, finishes editing, and then, a document is sent to another person for review. However, the other person tracks changes and then, edits them which as a result creates multiple versions of that document. But, Google Docs does not offer multiple versions and has a single copy that can be edited by more than one person.

If you want to track changes in a document of Google Docs then, you have to share it with another person for review. To do so, follow the simple steps given below:

  1. Head to Google Docs and log in to your Gmail account 
  2. Select the share button (blue button) placed on the top right of a screen
  3. Type the name of a person whom you want to share under share with people & groups option 
  4. When done with adding a people then, choose their role placed in the right-hand side dropdown menu.
  5. Uncheck or check the box which notifies that person that you have shared a document 
  6. Write a message if needed in a message box under the check box
  7. Finally, select the send option

Check the Document Revision History

Google Docs always keeps a record from start till the end when a person utilizes this app. However, if you forget or don’t know how to track the changes in Google Docs then, you can search that document via the document’s revision history. To do so, follow the steps given below:

  1. Head to Google Docs and log in to your Gmail account 
  2. Select the File option placed at the top left side then, select the Version History from a list of options that appear 
  3. Now, select the See Version History option
  4. On the right-hand side, you will see the time, date, and author of every revision of your document. Also, you can click any of them to check out what changes are made by the editors.
  5. You can also click the three vertical dots icon to check the versions that automatically get a name. You can change the name or make a copy as a new separate Google Doc.
  6. Also, you can restore a document to a previous version if someone made the wrong changes to a text.

Use Suggesting Mode

Suggesting mode is one of the most closest and useful features of Google Docs to track the changes. This feature is productive when you are invited by someone else to edit a document. This mode helps you to

  • Check out edits made in a different colour
  • Check out those highlights as a comment of the right hand of a document
  • Chat with other editors over the individual change in the comment bubbles
  • Checkmark to accept it when agreed with the changes (alternatively, select X to reject it). 

To turn the suggesting mode On simply, follow the steps given below:

  1. Head to Google Docs and log in to your Gmail account 
  2. Select the pencil icon placed on the right side from the dropdown menu
  3. Choose the Suggesting icon (green suggestion shortcut button) when you hover over a page

Now, you are ready to make changes to a document without altering the text permanently.

Leave Comments for Other Users

For an automatic suggestion, you can also leave comments for other reviewers or writers to suggest you more context about it. To leave a comment, follow the simple steps given below: 

  1. Head to Google Docs and log in to your Gmail account 
  2. Highlight the text where you want to comment or place a cursor where you want to leave a comment
  3. Select the insert icon placed on the top left side then, select the comment option from the list
  4. Type your comment and select the comment option
  5. Keep in mind that you can tag others via @ symbol or can use the live chat function if others are available at the same moment

You can also track changes by converting suggestions which can be done by downloading Google Docs as a Microsoft Word document. When a document is open in Word then, suggestions will appear where you can track the changes where all comments are preserved. To do so, follow the path: 

  1. Head to Google Docs and log in to your Gmail account 
  2. Select the file option placed on the top left side 
  3. Choose the download option from the list and then, select Microsoft Word.

However, work done on Word and Docs can not be considered a good option as it can lead to confusion, is time-consuming, and introduces formatting issues. Well, Microsoft 365 is considered a good alternative as it includes similar cloud-based features and collaborations.
